Lead statuses explained

What each status means and what action (if any) you need to take.


Pending

The enquiry has been received but the AI has not yet called. This usually lasts only seconds. If a lead stays in Pending for more than a few minutes, check that your calling hours are active and that your VAPI assistant is configured.

Calling

The AI is currently on the call, or the call has just been triggered. This resolves automatically to Qualified, Failed, or No Answer once the call completes.

Qualified

The AI determined the lead meets your criteria. A booking SMS has been sent. The lead appears in your Inbox and the Bookings page under Awaiting booking until the lead books a time slot.

No Answer / Failed

The lead did not pick up or the call could not connect. Callisto will automatically retry once after 4 hours. After two attempts with no answer, an SMS fallback is sent with your direct number.

Booked

The lead has booked a viewing slot via your Cal.com link, or you have manually marked them as booked. The viewing appears in the Bookings calendar with the confirmed date and time.
